Terms and Conditions for Egham Removals

Removal team preparing household items for transportThese Terms and Conditions set out the basis on which Egham Removals provides removal, transport, and related services to customers. By making a booking, the customer agrees to be bound by these terms, which are designed to create a fair, clear, and workable arrangement for both parties. Throughout this document, the terms "we", "us", and "our" refer to the service provider, while "you" and "your" refer to the customer using the service.

These conditions apply to domestic and commercial moves, single-item transport, packing support, furniture handling, loading and unloading, and any associated services agreed in writing before the move date. If any special arrangements are required, such as access limitations, storage needs, fragile goods, or time-critical scheduling, these must be disclosed at the time of booking so that we can assess suitability and price accordingly. The removal service terms may also include specific written notices or service notes that form part of the contract.

Customer booking and quotation documents for a removal serviceNo terms stated by the customer, whether in correspondence, estimate requests, or purchase documents, shall override these terms unless expressly accepted by us in writing. If any provision is found to be unenforceable, the remaining provisions will continue in full force to the extent permitted by law.

Booking Process

1. Booking and Contract Formation

A booking request is not binding until we have confirmed availability and accepted the job in writing, by email, or through an agreed electronic confirmation. The acceptance of a quotation does not by itself create a binding contract unless we have also confirmed the booking details, date, scope of work, and any key assumptions on which the quotation is based. We may decline a booking if the information provided is incomplete, inaccurate, or unsuitable for the service requested.

When making a booking for Egham removals, you must provide accurate information about the property size, item volume, access conditions, parking, floor level, stairs, lift access, assembly or disassembly needs, and any items requiring special handling. If the actual circumstances differ from the information supplied, we reserve the right to revise the quotation, modify the move plan, or refuse to proceed if doing so would be unsafe or impractical. Any removal service agreement may be adjusted accordingly where the scope changes.

The customer must ensure that all instructions are correct and that any decision-making authority is available on the move day. If a third party is arranging the service on your behalf, you confirm that they have authority to provide instructions and accept these terms. We may rely on instructions given by the named customer or their authorised representative.

Packed moving boxes and wrapped furniture ready for relocationPricing and Payments

2. Charges, Deposits, and Payment Terms

All prices are based on the information supplied at the time of quotation and may be calculated on a fixed-price or hourly basis depending on the nature of the work. Charges may include labour, vehicle use, fuel, mileage, packing materials, waiting time, access delays, disposal fees, and any additional services agreed in advance. Where a quote is described as an estimate, the final amount may vary if the job scope changes, access is more difficult than described, or the move takes longer than anticipated due to circumstances beyond our control.

We may request a deposit to secure the booking, particularly for larger or peak-period moves. Any deposit will be confirmed at the time of booking and may be non-refundable except where cancellation rights under these terms apply or where we fail to provide the service. The balance is normally payable on completion of the work unless we agree in writing to alternative arrangements. For some commercial or larger domestic moves, removal company terms may require payment in part or in full before the service begins.

Payment must be made using the methods we accept at the time of invoicing. If payment is not received when due, we may charge reasonable late-payment costs and interest to the extent permitted by law. You are responsible for ensuring sufficient funds are available and for any bank charges or transfer fees incurred. We reserve the right to withhold delivery or suspend any ongoing work until overdue sums are settled, provided doing so is lawful and proportionate.

3. Additional Charges

Additional charges may arise where there is waiting time caused by access issues, delays in obtaining keys, changes to the inventory, or additional labour required to complete the service safely. If items are not ready when we arrive, or if the property cannot be accessed as planned, we may charge for the extra time spent. Any extra work requested on the day will be charged at our standard rate or at a rate agreed before the work is undertaken. Removals service conditions allow us to protect our schedule and operational costs by applying such charges where necessary.

Cancellations and Amendments

4. Cancellation by the Customer

You may cancel or amend your booking by giving us notice in writing. Cancellation charges may apply depending on how close the cancellation is to the scheduled service date and whether we have already incurred costs, reserved staff, allocated vehicles, or purchased materials. Where a deposit has been taken, it may be retained in whole or in part to reflect our losses and administrative costs, unless the law requires otherwise. The exact amount retained will be reasonable and proportionate.

If you request a change to the booking, such as moving the date, altering the service scope, or changing the collection or delivery address, we will use reasonable efforts to accommodate the change. However, any amendment is subject to availability and may result in a revised quotation. A request to reduce the amount of work may not reduce the price if we have already committed resources in reliance on the original booking.

Where a customer fails to be present, fails to provide access, or is otherwise unable to proceed on the agreed date, this may be treated as a late cancellation or a failed job. In such circumstances, we may charge for time and expenses already incurred. For Egham moving services, punctuality and access readiness are important to avoid disruption and extra cost.

Our Liability

5. Loss, Damage, and Responsibility

We will exercise reasonable care and skill in providing the service. However, removals involve handling items in varied environments, and certain risks are outside our control. We are not responsible for loss or damage caused by items that were inadequately packed, defective, unstable, structurally weak, or unsuitable for transport, unless the damage is directly caused by our negligence. We are also not liable for pre-existing damage, ordinary wear and tear, or damage resulting from movement of furniture or items that had been assembled in a way that makes them vulnerable to separation or breakage.

It is your responsibility to ensure that valuables, documents, jewellery, cash, medicines, and irreplaceable items are kept with you unless we have specifically agreed in writing to carry them. Any item with a special handling requirement must be identified before the move. Where we provide packing materials or packing assistance, this does not guarantee immunity from damage if items are fragile, poorly packed by the customer, or if the customer declined recommended protective measures.

Waste and unwanted items sorted for lawful disposalOur total liability for any proven direct loss arising from our breach of contract, negligence, or failure to perform the service shall be limited to the lesser of the repair or replacement cost of the affected item, or the amount recoverable under any applicable insurance arrangement, subject always to mandatory legal rights. We shall not be responsible for indirect or consequential losses such as lost profits, missed appointments, business interruption, or emotional distress, except where the law does not allow such exclusion. Nothing in these terms excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot lawfully be excluded.

6. Claims Procedure

Any claim for loss or damage should be reported as soon as reasonably possible and, where practicable, before the end of the move day. You may be asked to provide photographs, an inventory, proof of ownership, and any relevant supporting details. We may inspect the item and ask you to keep it available for examination. Failure to notify us promptly may affect our ability to investigate the matter fairly and may limit any remedy available under these terms.

Waste Regulations and Disposal

7. Waste Handling, Disposal, and Environmental Compliance

Where we agree to remove unwanted items, rubbish, or surplus materials, the service will be carried out in accordance with applicable UK waste rules and environmental requirements. We may only transport and dispose of waste where this has been expressly arranged and lawfully permitted. You must not ask us to remove hazardous waste, asbestos, chemicals, gas cylinders, biological waste, or other restricted materials unless we have confirmed in writing that we are authorised and equipped to deal with them.

If the service includes clearance of unwanted goods, you confirm that you have the legal right to dispose of those items and that they are not subject to ownership disputes, retention rights, or restrictions imposed by landlords, managing agents, or third parties. We may refuse to handle any item that appears unsafe, contaminated, or unsuitable for transport or disposal. For the purposes of moving company terms, we may separate reusable items, recyclables, and waste in line with lawful disposal practices and operational policy.

You acknowledge that some items may need to be taken to licensed facilities and that disposal costs may vary depending on weight, volume, category, and local facility charges. If a waste transfer note, receipt, or similar record is required for the service, we may provide it where appropriate. We do not undertake unlawful dumping, fly-tipping, or any disposal activity that would breach environmental law. The customer agrees not to request, encourage, or permit any unlawful waste practice.

8. Customer Obligations

You must ensure that the goods to be moved are ready, clearly identified, and lawfully owned or authorised for removal. You are responsible for disconnected appliances, emptied fridges or freezers, safe disassembly where required, and ensuring that access routes are free from unnecessary obstruction. If pets, children, or vulnerable persons are present, appropriate supervision and safety measures should be in place so that the work can be carried out without unnecessary risk. We may pause the service if conditions are unsafe.

9. Insurance, Delays, and Force Majeure

We may maintain insurance cover appropriate to the type of work undertaken, but this does not alter the customer’s duty to protect their own interests and to arrange additional cover where necessary. If you require enhanced protection, you should notify us in advance so that we can explain any available options. We are not responsible for delays caused by traffic, road closures, severe weather, accidents, industrial action, mechanical failure beyond reasonable control, or any other event outside our reasonable influence.

If performance of the service is delayed or prevented by a force majeure event, we will take reasonable steps to reschedule or complete the work where possible. Neither party will be treated as in breach for delay caused by such events, provided reasonable efforts are made to mitigate the impact. If the disruption continues for an unreasonable period, either party may have the right to cancel the affected service on fair and reasonable terms.

10. Health, Safety, and Site Conditions

We may refuse to carry out any task that poses a risk to our staff, your property, or the public. This includes, without limitation, unsafe lifting conditions, unstable flooring, blocked access, aggressive behaviour, or the presence of dangerous substances. You are responsible for informing us of any known hazards before the service begins. If we identify a risk on arrival, we may suspend or modify the work until the issue is resolved, and any resulting delay may be chargeable.

11. Governing Law

These terms and any dispute or claim arising out of or in connection with them shall be governed by and interpreted in accordance with the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction to resolve any dispute that cannot be settled amicably between the parties. If any consumer rights apply, nothing in these terms affects your statutory rights under applicable UK law. The intention of these removals service terms is to provide a clear legal framework while preserving mandatory protections granted by law.

This agreement represents the full understanding between the parties regarding the services described and supersedes any prior discussions or representations relating to the same subject matter. No failure or delay by either party in enforcing a right under these terms shall be treated as a waiver of that right. If any amendment is required, it must be agreed in writing. By proceeding with the booking, you confirm that you have read, understood, and accepted these conditions governing Egham Removals.
